CloudHQ Streamlines My Gmail Workflow and Simplifies My Daily Communications:

As a leadership consultant, speaker, and coach, my work depends on clear and timely communication. Over the past several years, I’ve been using CloudHQ and gradually adding apps along the way because I’ve found them both simple and effective. Many of these tools are low-cost—or even free—which helps me avoid investing in large, high-dollar systems I don’t need. Email is my life. I spend a good portion of every day communicating with clients, prospects, and connections. This naturally creates long-running email threads with ten, fifteen, sometimes twenty individual messages. One of my favorite CloudHQ features is Conversation Reversal. Instead of scrolling through an entire thread to find the last relevant point, I see the newest message first. It helps me respond to a full inbox quickly, reduce overwhelm, and stay efficient throughout the day.

Instead of rewriting these emails over and over, I pull up my ready-made templates, personalize the details, and send them off quickly. This saves time and keeps my communication consistent and professional.
Another feature I appreciate is Email Notes. I can pin a note at the top of an email thread so my assistant and I always know the status of a conversation. Whether something is waiting on me, waiting on someone else, or needs follow-up later, the note is right there. It reduces confusion, prevents missed tasks, and helps both of us stay aligned across multiple projects.
CloudHQ’s email scheduling and open tracking also fit seamlessly into my workflow. I can write messages when it works for me and schedule them for a better time—especially helpful when communicating with teams before events or after workshops. Tracking opens gives me a quick sense of who has seen the information and who may need another reminder.
I don’t use the polls and surveys tool often, but when I do need it, it’s incredibly helpful. It makes collecting availability for a meeting or event simple. It can also be used for things like lunch menu preferences or quick “What did you like best?” feedback. And since the results export straight to Google Sheets, everything stays organized.
And of course, the Snooze function continues to be one of my small but mighty favorites. If I’m not ready to respond but don’t want something to fall through the cracks, I snooze it to the day and time I want it to reappear. It keeps my inbox clean while ensuring nothing gets forgotten.
None of these tools are complicated, and that’s exactly why I like them. CloudHQ fits the way I already work.
